General Duties:
Hire all staff
Make necessary purchases for the camp
Contract with Harriman State Park for facilities
Contract with caterer
Manage the website and social media
Produce and publish Henrys Fork Journal, the annual camp publication
Report regularly to the Board of Directors
Store camp supplies, i.e., three laptop computers, two printers, about 100 books, four walkie-talkies, a first aid kit, and various other items.
Salary
$10,000 annually, plus mileage to and from the camp.
January
Complete grant reports for the Idaho Commission on the Arts (ICA) and other granting organizations.
Complete ICA grant requests for the following camp.
Assure that the board treasurer files an IRS form for the organization.
Submit IRS 1099-Misc forms for yourself and teaching writers.
Open applications for the coming camp.
Recruit potential campers through social media, news releases, public radio, and teacher contact.
Begin recruiting teaching writers (four) and proctors (three). Contact guest artists to assure they are available for the camp.
February-April
Continue to recruit students.
Begin a camp roster with student contact information and other needed information.
Prepare commitment letters for all staff.
May-June 15
Promote last-minute registrations.
Communicate with parents and students, answering questions they may have.
Get a quote from the caterer for food based on the number of students and adults that you expect for the coming camp. Pay the caterer half of the quote to hold the date. Adjustments in numbers can be made once the final count is done.
Order composition notebooks for camp.
Purchase camp insurance.
June 16
Inform students whether or not they have been selected. Typically we have 40 or fewer apply. We have some flexibility with the park to accommodate one or two more. If you receive considerably more, be prepared to make selections based on the written work they have submitted.
Provide students and parents with a packing list (on the website) and work out special needs. Most often, special needs will be dietary and can be handled by the caterer.
Order t-shirts.
June 17-about August 1
Double-check camp supplies and purchase whatever you need from Smores makings to medical supplies.
Make reservations at the Trout Hunter for an evening meal for staff the Saturday before camp.
Make reservations for camp horseback ride.
Saturday Before Camp
Arrive at Harriman in the early afternoon. Get any last-minute instructions that may be in effect from park staff.
Meet and greet staff as they come in.
Host staff members at an evening meal at the Trout Hunter
Sunday, the First Day of Camp
Host a catered brunch for staff in the Scovel Center (Caterer prepares).
Assign students to teaching writers.
Go over camp schedule.
Sunday through Saturday of Camp
Speak to students at the beginning of each meal, letting them know what is coming up.
Schedule early morning and evening hikes as time permits.
Introduce teaching writers each morning for their craft talks.
Tuesday of Camp
Walk down to the horse concession to pay for horseback ride.
Drop off horseback forms.
Lead students to the horseback concession following evening meal.
Friday of Camp
Write stipend and mileage checks for teaching writers, proctors and other staff.
Deliver second half payment for catering to the chef.
Take pictures of students in the t-shirts they receive from proctors.
Direct a practice reading for the students in anticipation of their public reading.
Greet parents during the Friday night reading.
Mingle with parents at the reception after the reading.

Supervise cleanup.
Greet parents picking up students.
Assure all students have a ride home.
Pay for park facility rent.
August 15-August 30
Electronically submit photos of all checks and receipts to the board treasurer.
Apply for Whittenburger grant before deadline.
